Position Summary: The Assistant Director assumes a crucial role within the Admissions leadership team, overseeing a group of Admissions Generalists stationed at the One Stop Student Services (OSSS) locations.
This team plays a pivotal role in addressing both general and Admissions-related needs of students.
Responsibilities for the Assistant Director include fostering the success of their team through strategic enrollment initiatives.
This involves orchestrating recruitment activities, such as campus tours, lead generation, follow-ups, admissions events, one-on-one admissions counseling, and daily interactions with prospective students.
This team also fields a significant number of general inquiries and basic transactions related to nearly all aspects of the college experience.
As a leader within the One Stop Student Services locations, the Assistant Director collaborates with other teams' leaders to ensure seamless coverage and coordinated daily activities.
These interdisciplinary teams collectively provide services through in-person interactions, phone communication, and electronic channels.
The Assistant Director's performance will be evaluated based on college goals, benchmarks, and key performance indicators.
Key areas of assessment include prospective student numbers, the execution of targeted recruitment events, smooth operation of the One Stop Student Services locations, and the overall enhancement of student enrollment.
Success in this role is synonymous with achieving excellence across these performance measures.
Essential Functions: • Represent the College of Western Idaho.
Act as a key ambassador for the College, interacting with prospective and current students, parents, and various stakeholders associated with the institution.
• Implement Recruitment Strategies.
Execute recruitment best practices, overseeing campus tours, admissions events, and enrollment campaigns.
Thoroughly manage prospective student leads, ensuring effective follow-up.
• Collaborate with Admissions Leaders.
Work collaboratively with other Admissions leaders to foster a cohesive team environment, facilitating the transition of students to admitted status.
• Oversee Admissions Services at OSSS Locations.
Supervise and manage daily operations at OSSS locations, emphasizing high levels of student satisfaction through exemplary customer service practices.
Adjust Admissions staffing schedules based on student traffic trends and coordination with other teams serving students in OSSS locations.
• Serve as a Communication Point.
Act as a liaison between College Leadership and teams at One Stop Student Services locations, ensuring effective communication about events, closures, peak demand, and other activities that may impact coverage and/or daily operation at the OSSS locations.
• Hire, Train, and Supervise Staff.
Recruit, train, and supervise staff members, fostering their contributions to the overall success of the college.
Manage ongoing performance to ensure staff possess the necessary skills and training for effective task execution.
• Promote College Offerings.
Maintain comprehensive knowledge of the College's offerings to effectively promote programs to prospective students, aiding them in informed decision-making.
• Utilize College Systems.
Proficiently navigate and utilize College systems such as Ellucian (Datatel) Colleague, Qless Check-In system, Cisco Phone System, Blackboard Resource Center, and other relevant platforms.
Minimum Qualifications: • Bachelor’s Degree in a relevant discipline and five years of progressive experience in the following areas: Supervision and Performance Management.
Proven track record in employee supervision and performance management, preferably within a college/university setting.
Recruitment Best Practices.
In-depth experience with Admissions Funnel management and a comprehensive understanding of applying recruitment best practices in a college environment to increase numbers across the funnel or Sales Pipeline management to increase revenue.
Leadership Skills.
Demonstrated leadership behaviors showcasing the ability to make sound decisions aligned with the College’s priorities.
Communication Proficiency.
Strong communication skills across various mediums, including in-person, phone, and written communication.
Cross-Cultural Competence.
Strong cross-cultural interpersonal and writing skills, including proficiency in public speaking.
Ability to represent the college positively to diverse populations.
• Community College Experience.
Previous experience working in a community college setting, particularly serving a diverse, non-traditional student population, is preferred.
• ERP System Experience.
Familiarity with Ellucian (Datatel) Colleague ERP or other major ERP systems are preferred.
• Bilingual Proficiency.
Preferred proficiency in both Spanish and English, enhancing the ability to engage with a diverse student population.
